Export Quotation Worksheet

Purpose and Use:

Form Profile:

This is an in-house form used to assure that all cost aspects of an export transaction are verified and considered. The form addresses export costs which may be either assumed by the seller or included in the invoice to the buyer in accordance with the terms of sale.  These costs include packing, inland freight, freight costs by mode, insurance, and other special costs such as bank fees and consular fees. The form layout also includes a cost comparison for up to three different quotations for packing and freight charges.  The completed form may also serve as a handy worksheet for Pro Forma Invoice preparation.

Pro Forma Invoice

Purpose and Use

Form Profile:

The Pro Forma (also known as proforma) Invoice serves as a quotation which will resemble the commercial invoice used for customs purposes for the export transaction. The pro forma must be clearly identified as such at the top of the form. Pro forma invoices also may serve as a document for the buyer in letter of credit transactions when the terms of payment call for that instrument. In addition to the usual elements of an invoice such as item description, quantity and price, the pro forma should also specify the Incoterms and shipping costs as part of the quotation terms. All pro forma invoices should be valid for a specific period of time.
